Visas, Refunds and International Participants

Questions regarding VISAs & International participants, refund questions, activities for which you registered but were unable to attend while at the Congress (e.g. tours, short courses, social events, extra tickets, additional proceedings) can be addressed in the following manner:

VISAs:

  • Information regarding invitations can be found on the Congress website by clicking here.
  • Invitations to participate will be sent out upon paper acceptance.
  • Send requests for invitations to klachinova@asce.org and your letter will be prepared and sent in .pdf format by email.
  • Letters may be faxed if requested. Please provide a fax number and indicate that you would like the letter to be faxed in addition to the original .pdf copy.
  • Letters cannot be emailed or sent to the Embassy or US Consulate. ASCE cannot intervene on behalf of the invitees with the Embassy or US Consulate via fax, phone, surface mail, or email.
  • If you have any questions regarding invitations, please contact klachinova@asce.org.
  • The US Department of State provides information on traveling to the United States regarding passports, international travel, etc. Their website is accessible at http://travel.state.gov/visa/temp/types_1262.html .
  • If you are unable to obtain a Visa, cancellations must be received in writing at ASCE Headquarters by April 16, 2010, to receive a refund for registration fees. A $100 Processing fee will be deducted from all refunds.
  • ASCE encourages you to process any required visa documents at least 6 months in advance of the conference date. Please remember that the U.S. Department of State now requires you to appear for a personal interview in order to apply for a visa and requires that you have a machine-readable passport. Some consulates have up to a four-month waiting period for an interview, so please contact your nearest consulate as soon as possible to request an interview date. If you have difficulty getting a timely interview appointment, please contact Katerina Lachinova (klachinova@asce.org) and we will do what we can to help. ASCE cannot refund registration fees after the registration cutoff date due to an individual’s inability to obtain a Visa. Please file your paperwork as far in advance as possible in order to be eligible for a refund prior to the registration cutoff date.
  • Please note a new process for some who travel to the US. All travelers from countries that have a Visa Waiver Program with the US are required to obtain approval through the Electronic System for Travel Authorization (ESTA). The new system is designed to ease travel for those from the visa waiver countries. This web-based system takes only a few minutes to complete. Unlike passport checks, the airlines will not be verifying ESTA registration prior to boarding, so please make sure you have obtained approval before embarking on your journey to avoid being refused entry. To ascertain if you fall within the Visa Waiver Category, please follow the link to the ESTA registration site and complete the application online: https://esta.cbp.dhs.gov/esta/esta.html.
  • Paper presenters register as speakers.
  • If the paper presenter is a full-time student, they may register at the student rate, but must show proof of full-time student status at the time of the conference. 
  • There are no additional discounts for international attendees.
  • Refunds will only be given if a letter or email requesting cancellation is received by the cancellation deadline - April 16, 2010; however, there will be a cancellation fee of $100.
  • All cancellations made after the deadline are non-refundable, this includes cancellation due to failure to obtain a VISA authorizing travel in the United States.
  • If your registration included a copy of the proceedings, and you cancelled after the deadline, you may still request that a copy be sent to you by mail up until 30 days after the conference. No other registration materials will be sent.
  • For refunds on tours, short courses, social events, extra tickets, additional proceedings, please refer to the refund policy on the website.
  • If all other avenues have been exhausted, please direct questions to the conference manager at EWRI2010@asce.org.

Registration

Questions regarding registrations, receipts, payments can be directed in the following manner:

  • Information regarding payment options, refund policies, Early Bird and Onsite registration may be found at the conference website at http://content.asce.org/conferences/ewri2010/registration.html.
  • Registrations cannot be processed by phone.
  • Payment Is Required at Time of Registration: Registrations will not be processed without the full payment or a copy of your official purchase order (P.O.), if applicable.
    • To pay by credit card: Online and fax registration is available for those who wish to pay by credit card. ASCE accepts AMEX, VISA, MC, DISC, and DINERS.
    • To pay by purchase order (P.O.): Mail your official P.O. form with your hard-copy registration form to: Mance & Associates - c/o ASCE (EWRI Congress 2010), 58 Florida Avenue, NW, Washington, DC 20001.
    • To pay by check: Mail your check - payable to ASCE (EWRI Congress 2010) - with your hard-copy registration form to: Mance & Associates - c/o ASCE (EWRI Congress 2010), 58 Florida Avenue, NW, Washington, DC 20001.
      • Check must be issued in US dollars, drawn on a US bank. Include attendee’s name in the memo area of the check.
    • To pay by wire transfer: Please contact Ann Rountree at arountree@asce.org for wire instructions.
    • For pre-Congress registration discount: Postmark or fax by the Advance registration deadline: April 12, 2010.
    • Registrations cannot be processed by phone.

Abstract or Paper Status

What is the status of my abstract?

Please refer to the confirmation email message sent from the MIRA database and make note of your Abstract/Paper ID #. Confirm that you have met all posted deadlines and have received confirmation that the documents were successfully submitted into the conference database.

If you have adhered to all deadlines, you should expect to be notified no later than November 30th regarding your abstract. Due to the overwhelming response to the call for abstracts, the review process has taken slightly longer than anticipated.

If it is after November 30th and you have still not been notified of the status of your abstract send an email to EWRI@asce.org. Include the Name of the Conference and the ABSTRACTID # in the email. This email will be referred by EWRI staff to the appropriate Technical Committee member for a response to the author.

Where will my paper appear in the technical program and when do I present?

To find out where your paper will appear in the final program and when your presentation is scheduled in the technical program please check online at http://submissions.miracd.com/ASCE/EWRI2010/Itinerary/ConferenceMatrix.asp.

If your presentation appears to be missing from the technical program and you have received confirmation emails proving that you’ve adhered to all deadlines, then email EWRI@asce.org. Include the name of the Conference, along with your Paper/Abstract ID#.  EWRI staff will check on the status of your Paper/abstract and coordinate with the appropriate Technical Committee member for a response to the author.

May I Upload my Final Paper after the Deadline?

The organizers of the Congress have implemented a policy of adhering to author deadlines. The database will close for paper upload on January 31, 2010, at midnight Eastern Standard Time. Authors who have missed the deadline will likely be removed from the Congress program, however if an author wishes to appeal contact the Technical Program Chair.
